Group Booking Policies

We require a minimum of 2 weeks notice for all Lift Ticket, Rental and Activity orders, accompanied by full payment.

Contact information will be required on each order form.

One Group Payment is required for all bookings and events.

Events/Bookings are not considered definite until we have a signed Sales Agreement and if required, a deposit.


Food & Beverage Policies

Food and Beverage events/bookings, should be booked a minimum of 6 weeks in advance.  We are busy, and we fill up quickly.  The bonus, if one location doesn't work, we may have another venue to suit your group needs.

A Non Refundable Deposit is due for all Food & Beverage events/bookings, based on 10% or $1000 which ever is greater.

Food & Beverage pricing cannot be guaranteed more then 90 Days prior to your first event date.

Your Menu Selection and Estimated Number of Guests are required 30 Days prior to your first event date.  14 Days prior to your event date your Final Number of Guests is due.  At 72 Hours we do permit a 10% Attrition rate, anything over this may be subject to penalise or additional charges.

A Service Charge of 17% is applicable to all Food & Beverage functions.

If additional labour or set up is required our Sales Team will inform you of labour charges, subject to 12% HST.


Additional Policies

We request that if you're going to do décor at the Roundhouse Lodge for an evening function that you please use the Whistler Village Gondola.  We can supply you with the dimensions of the gondola cabins for shipping needs. 

If your items do not fit in the Whistler Village Gondola we can request shipping by Truck, Cube Van or Snow Cat (depending on the season).  A shipping rate with apply.

Taxes

Food and Non-Alcoholic Beverages 12% HST, 17% Service Charge
Liquor  12% HST, 10% Liquor Tax, 17% Service Charge
Lift Access and Tickets 12% HST
Ski and Snowboard School 12% HST
Rental Equipment 12% HST
